Administrator, Customer Experience & Commercial
Full-Time

Position Overview: This position is accountable for managing all day-to-day administrative activities for the department, exercising independent judgment in resolution of administrative problems, conducting research, and disseminating  information via telephone, mail, and email.

The Administrator reports to the Vice President, Customer Experience and Commercial.

FLSA Status: Non-Exempt

Salary Range: $68,000 to $72,000

ESSENTIAL DUTIES AND RESPONSIBILITIES:

o Manages the Vice President, Customer Experience and Commercial’s calendar, meetings, travel arrangements, etc.  

o Keeps track of daily, weekly, and monthly retail sales for reports.

o Coordinates all advertising requests from the contracted advertising partner with internal stakeholders. 

o Compiles monthly management report/presentations.

o Creates and submits purchase orders.

o Provides contract administration as directed and ensures timely follow-up, including hard copy and electronic filing for  both internal and external stakeholders.

o Ensures the contract directories both internal and for Port Authority are up to date.

o Coordinates conference participation for members of the department, registration, transportation, hotel  accommodations, and miscellaneous details.

o Organizes special events as assigned by the Vice President, Customer Experience and Commercial and interfaces with  the Executive Team as necessary.

o Maintains attendance records for the department and submits timesheets for payroll.

o Completes department expense reports.

o Manages invoice process for the department.

o Handles coordination of visitors, including and security clearances.

o Answers telephone calls and responds to correspondence.

o Maintains mailing and contacts lists.

o Supports other members of the department as needed.

o Performs other duties as assigned.

MINIMUM QUALIFICATIONS:

Education, Training, and Experience

o Associates degree required; Bachelor’s degree preferred

o Three to five years of administrative experience

o Experience in a retail/commercial or airport environment preferred

Special Requirements

o Must be able to pass a criminal background check and obtain and maintain federally mandated security clearances  required to work at an airport

o Ability to work outside of normal business hours.

PHYSICAL CONDITIONS/WORK ENVIRONMENT:

The physical activities include being able to move about a two million square foot facility. While performing the  duties of this job, the employee is regularly required to travel from floor to floor and in varying outdoor weather  conditions. An individual in this position may be required to lift and/or move more than 15 pounds. The essential sensory  and communicative activities include feeling, hearing, and vision abilities to include close vision, distance vision,  peripheral vision, depth perception and the ability to adjust focus.
